1.2 Verification of calibration certificate All calibration certificates should be supplied with the goods purchased, leased or hired.
Check calibration certificate supplied with instrumentation includes the following (if applicable)
1. Unambiguous identification of the item calibrated (normally a model and serial number).
2. Evidence that the measurements are traceable to a National calibration authority.
3. The method of calibration.
4. A statement of compliance with any relevant specification
5. The calibration results.
6. The uncertainty of the measurement.
7. The environmental conditions while under test
8. The date of calibration.
9. The signature of the person under whose authority the certificate was issued.
10. The name and address of the issuing organisation including the date of issue of the certificate.

2.1 Calibrate equipment Carry out regular calibration as required to maintain usability of equipment.
If existing calibration expires prior to re-calibration, the equipment should be placed in quarantine.
If sending items for external calibration, ensure the goods out process is followed.

3.1 Update equipment status If instruments do not possess a suitable calibration certificate and cannot be calibrated then the equipment should be tagged and placed in quarantine while calibration or disposal is arranged.
Note: instrumentation may be used 'for indication only' if for example there is a degree of drift, but this is acceptable for indication even although it can not be correctly calibrated. Instrumentation/equipment to be used in this manner must be clearly marked.

1.1 Identify item in asset register Establish whether an item is a client asset, a Metron asset or a hired asset. This will have been identified as part of the goods in process.
Inspect the item for a silver label containing an asset number beginning with A for Metron assets or C for client assets. Metron technological assets not for operational use, being with 'IT'. If a label is found, open the asset register and search for the number within the correct tab (the asset register will have separate tabs for Client and Metron assets).
If the number exists within the asset register and corresponds with the item, the item has been identified. Proceed to section 3.0.
If no number or item exists within the asset register, proceed to section 2.0. |

1.5 Agree Actions Discuss issue with Operations Manager, agree actions. If the issue has arisen due to a non-conformance, the NC/IO process should be followed.
If the item is to be sent for external repair or calibration, this should be actioned through the procurement process.
If the item is to be repaired internally, this should be managed as an internal project.
Notes can also be added to the Asset Register to provide more information.

1.2 Add item to Metron asset register Register the items as hire equipment within the asset register, on the 'hire' tab.
Each item is to be given a separate hire number, even if for the same job.
Fill out as many details as possible within the register, including a designated shelf number for the item, whilst at GTS Metron's premises. Boxes and packaging can also be stored on this shelf, while items are offshore for example, if not required for transportation at that time.

2.1 Register returning equipment The returning equipment will be processed by the Goods In process.
Make sure that all components/accessories are returned.
Register the item as retuned on the Asset register, on the hire page.
Check for functionality. An Engineer may be required.
If the item is damaged, discuss with the Operations Manager. Place item in quarantine. |

Each individual client will be different however, so ensure logistics notes are checked on the client site.

2.1 Pack equipment The equipment/kit should then be packed and all relevant forms/records included.
Operations Coordinator to provide PO and job numbers for delivery notes/labels.
Equipment is to be packed appropriately for the method of travel. Dangerous goods must be packaged and labelled as defined in MSDS. Make sure all on hire items are individually listed on the delivery note with the name given on the quote.
Operations Coordinator can provide any information required.
Equipment calibration and certification to be checked. Highlight any issues immediately to the Operations Coordinator.
