14.PR013 Toolbox Talks |
1.1 Identify Need As part of Risk Assessment Process 14.PR037, a Toolbox Talk is carried out. A Toolbox Talk is a brief, relevant, two-way process focussed on the task ahead. |

2.1 Timing The Toolbox Talk should be carried out just before work begins on a task with potential hazards.
Toolbox Talks can also be carried out at every shift change or following any significant change of plans, working conditions, scope of work, or personnel.
Toolbox Talks may also be held before undertaking any new task with which personnel are unfamiliar.
Toolbox Talks should be timed to maximise their relevance to the task ahead - this can range from a few minutes to no more than 15 minutes.
The Toolbox Talk should be carried out at the worksite, if it is safe to do so. Otherwise, at a safe location close to worksite where all those involved can be heard and understood clearly. |

2.2 Attendance Those attending should be personnel directly involved in the task. Personnel affected by the task should also attend. Additionally, HSE, Engineers and worksite representatives may attend. Restrict attendance to those that need to be there.
It is highly beneficial that all those attending make a contribution to the discussion. Encourage discussion and feedback.
The Toolbox Talk should be led by Supervisor, Team Leader or Responsible Person. |

2.3 Observing The Toolbox Talk should take a detailed look at the task, job or activity about to be undertaken. Refer to the Risk Assessment for the task ahead.
The following topics should be discussed: PTW, Roles and responsibilities, hazards and risks, control and mitigation, communication, who should be aware of the task and control of site access, and lessons learned from previous experiences should be discussed. It is also a good opportunity to remind personnel of the risks involved in seemingly 'routine' tasks and to avoid complacency.
Encourage discussion and feedback.

2.4 Knowledge After the Toolbox Talk is complete all team members should have a clear understanding of the scope of the task ahead, the hazards and risks involved, the controls in place, the roles and responsibilities of each team member and required action for safe operation.
It is important to enforce that the task can be stopped at any time.
It is responsibility of all staff to STOP THE JOB if it becomes unsafe and call a Time Out For Safety (TOFS).

14.PR015 Contractor health and safety management |
1.2 Prepare The person who has organised the external contractors must notify the designated Responsible Staff Member prior to their arrival, detailing: -Their reason for being on site. -The work they will be carrying out -Their contact information -If an additional technical point of contact is required and whom that person is.

1.3 Documentation Requirements Before work commences, contact the external contractors to ensure they provide the following information:
-A project/job risk assessment - reviewed off by Metron -A method statement (if applicable) -MSDS Sheets (if applicable), for any substances which will be used, or stored, on site for the purposes of the contract. -Evidence of insurance.
Works cannot commence at our premises without copies of these documents. |

1.4 Inform staff All departments affected by the contractor's work must be notified in reasonable time, so that any areas affected by the works can plan for the disruption to normal routines etc.
Inform the site & facilities management team, and our immediate neighbours of the works to be carried out so they are aware of external parties being on site. Copies of the risk assessments/method statements should also be forwarded to site & facilities representative (interested party). |

1.5 Re-assess Any reasonable objections regarding the future disruption should be taken into consideration (i.e. works will affect training courses, projects etc.) and amendments to the scope/schedule should be implemented as appropriate.
If no objections are raised and there are no changes to the planned dates, then continue to 1.6
If the scope of work has not changed, go-to 1.5 but if the planned dates have changed then revert to 1.3.
If the scope of work has changed, revert to 1.1 |

1.6 Visitor Information The Responsible Staff Member, (and technical point of contact, if required), should make themselves known to the contractors upon arrival at the premises, and advise on how the Responsible Staff Member may be contacted during their time on-site.
All contractors must be given a Visitor Health & Safety Information leaflet when they arrive on site, detailing Fire Evacuation Plans, First Aid, Accident Reporting and House Rules.
Point out the emergency contact information displayed on the notice boards and provide the location of washroom services. |

1.7 Supervision The provision of site supervision is the responsibility of the contractor.
The contractor should inform the Responsible Staff Member immediately of any incidents that occur on site, such as; a. Any accidents b. Pollution of the environment, whether it has, or has not, been effectively contained c. Damage to Metron plant or equipment d. Any near misses or observations |

52.PR012 MOUK Responding to an Emergency |
1.1 Receive emergency call "Call will be received to the mobile on call through Metron's phone system. Situation to be assessed and names of Metron personnel involved should be taken. Request as much detail as possible and take details of who to contact for situation updates. Record all details in writing. Do not discuss with outside sources (e.g. media, etc.)."

1.2 Receive emergency call - out of hours Call will be received to the mobile on call through Metron's out of hours phone system. Situation to be assessed and names of Metron personnel involved should be taken. Request as much detail as possible (asset, details of incident / situation, etc) and take details of who to contact for situation updates. Record all details in writing and keep an accurate timeline of events. Do not discuss with outside sources (e.g. media, etc.).Proceed to 2.1.

2.2 Notify next of kin Details for next of kin can be found in ERP, under human resources or personnel files. This information is only visible to management. Notify next of kin with information received. If required, discuss update schedule from the client and offer support as required. Ensure contact details are given for Metron and that the next of kin is aware of lines of the official communication and who to speak to about the situation. Ensure it is clear not to discuss the situation with outside sources (e.g. media, etc.).

Make arrangements as required (e.g. hospital, family, etc.). Ensure these are communicated to the response staff listed.

2.4 Await update from client and communicate Communicate any updates from the client to all relevant parties. Ensure all details are recorded in writing. Return to 1.3 to update next of kin as necessary. Continue to update as required by the situation. If no further updates are required from the client and the need for emergency response is finished, proceed to 2.5.
